Tapia Conference Supporter FAQs

How many people are expected to attend Tapia 2024?
We look forward to hosting at least 2000 attendees.

How many students are expected to attend?
We expect to have approximately 70% students, consistent with past conferences.

What are the Career Fair Hours?
Wednesday, September 18, 6:00pm - 8:00pm PDT
Thursday, September 19,10:00am -12:30pm, 1:15pm - 4:30pm
Friday, September 20,10:30 am - 3:00pm, 3:00pm - 4:30pm (Interviews Only)

Is there a conference app?
Whova will be used as the Tapia Conference app. Supporters may choose to add additional content to their Whova supporter page. Supporter contacts will receive an email early August providing access to update their Whova Supporter page.  See Whova Tutorials for additional information.

Is Lead Capture available in Whova?
Lead capture feature is available to all supporters in the Whova mobile app. Go to Exhibitor Hub and click Collect Leads/Contacts to scan an attendee's Whova app QR code or select from attendee list. See Collect Leads in Whova Guide for additional instructions.

When does the conference start and end?
Pre-conference workshops begin Wednesday morning, September 18 prior to the Tapia Conference Kick-off at 4:30 pm PDT. The conference ends Friday, September 20 after the Awards Ceremony & Celebration. Please see Tapia Conference Schedule for additional details.

When can Supporters set up their exhibit booths?
Tuesday, September 17, 9:00 am - 6:00 pm (Early Setup) and Wednesday, September 18, 9:00 am - 4:00 pm. Please contact Freeman in advance for early setup on Tuesday.

When do Supporters have to break down booths?
Friday, September 20, 3:00 pm - 8:00 pm

What is the size of the exhibit booths?
Single exhibit booths are 10’x10’. Supporters may have multiple booths depending on their supporter package.

What is included in the booth?
Each exhibit booth includes: 8’ high back wall, 3’ high side drape, 6'x30" H draped table, 2 chairs, 1 wastebasket, 1 500 watt outlet, and booth sign with name. The exhibit hall, including booths, is carpeted in a neutral gray. 

What hours are the booths available to Supporters?
Exhibit booths will be available to Supporters during the designated exhibit hall set up times and the career fair hours. See Tapia Conference schedule for details.

Are exhibit booths available for purchase?
Select supporter levels have the option to purchase exhibit booths. Please email tapiasupporterinfo@cmd-it.org for additional information.

When does hotel reservations open?
Reservation bookings opened mid-April.

Can I change the name on my reservation?
Please contact the hotel regarding reservation details and changes.

What is the size of the Interview Booths?
Interview booths are 10’x10’.

What is included in the interview booth?
The interview booth includes a table, 2 chairs, wastebasket, draping and a sign with a name.

What hours are the interview booths available?
Interview booths are available during the conference check-in hours. See conference schedule for additional details.

Are interview booths available for purchase?
Select supporter levels have the option to purchase interview booths. Please emailtapiasupporterinfo@cmd-it.org for additional information.

What are the logo specifications?
A high-resolution JPG or PNG file is required. Please use the name of your organization or department as the file name.

Where should I send my logo?
Logos can be emailed to tapiasupporterinfo@cmd-it.org.

What meals are included with my registration?
Wednesday evening: Heavy hors d’oeuvres. Thursday: Lunch and afternoon snacks. Friday: Lunch and heavy hors d’oeuvres at Awards Reception.

When does registration, including bulk purchases, open?
Registration opened April 17, 2024.

Do bulk purchases have to be assigned to individuals at the time of purchase?
Bulk purchases do not require the individuals to be identified at the time of purchase. Individuals must be identified prior to the close of registration.

What is the registration deadline for supporters?
All Tapia 2024 conference attendees, including supporters/exhibitors, must register by the close of registration on August 21.

Can we transfer registration from one team member to another?
Registration substitution can be made until September 1.

Do I need a registration pass for someone who is just setting up the booth?
Special accommodation can be made in advance for a person to gain access to the exhibit hall for booth set-up only.

When is the Call for Participation (CFP)?
The 2024 CFP submission period was January 15 - February 27. Everyone is invited to submit during the submission period. Decision notifications were sent in April.

What are Tech Talks?
Tech Talks are non-marking, technical topics which may include, but are not limited to, quantum computing, cybersecurity, blockchain, artificial intelligence, machine learning, big data, Internet of Things, robotics, security, privacy, virtual/augmented reality, human-centric computing, smart mobility, social computing, or other related topics. We encourage supporters to highlight their diverse workforce, focused on CMD-IT’s target communities: African Americans/Blacks, Hispanics/ Latinx, Native Americans/Indigenous People and People with Disabilities.

Do Tech Talks include a speaker registration pass?
Purchased Tech Talks include one registration pass for the speaker.

Are Tech Talks listed on the conference schedule?
Yes. All Tech Talks will be included on the Tapia Conference schedule. Supporters who are presenting a Tech Talk must submit their Tech Talk Details by August 15.

When will Supporters who receive Branded Student Scholarships be notified of their scholarship recipients?
Supporters will be notified of their student scholarship recipients by August 23. Student scholarship recipients will also be notified of the supporter who is sponsoring their Tapia 2024 scholarship. Supporters are encouraged to contact their scholarship recipients prior to the start of the Tapia Conference.

When are Supporter invoice payments due?
Supporter payment terms are net 30 (should be received 30 days after invoice date).
